Sessions Compliance System Update: FAQs

Coming into effect March 2026

What is changing?

From 1 March, the Sessions compliance system is moving from time-based tracking to order-based tracking.

Previously, the system assumed your stock levels based on a fixed timeframe (8 weeks). From 1 March, it calculates your actual stock usage based on your order volume since your last Bidfood delivery.

When does the change take effect?

The new system activates on 1 March and looks back at your previous orders to calculate your current stock levels.

Your February Score will be calculated as normal first. Your updated compliance status will then appear on the Sessions Dashboard from Tuesday 3 March.

What do you need to do?

  • If you are currently compliant: nothing. The system adjusts automatically to your order patterns from 1 March.

  • If you are not currently compliant: order all required products before 1 March.

How do I know if I'm compliant?

You can check your status at any time on the Sessions Dashboard.

  • Compliant (Green): You're on track. Keep ordering regularly before you run out of stock.

  • Non-Compliant (Red): The dashboard will list the specific items you need to order to get back on track. We'll also contact you directly.

How do I stay compliant?

  • Order all required items regularly, before you run out of stock. Keep a buffer to tide you over until your next delivery arrives.

  • Order through your Sessions Bidfood account so we can track each delivery accurately.

  • Make sure orders go directly to your site's postcode. If you order to one address for multiple locations, your stock levels will be inaccurate and your site may be marked as non-compliant.

  • Use the correct branded bags on every order. Not doing so will result in a non-compliant status.

What if I have multiple sites with Sessions?

We track compliance separately for each site.

Each site must order from its own Bidfood account, with packaging delivered directly to that site's postcode. You cannot order to one site and transfer stock to another. Stock transfers cannot be tracked, so your stock levels will be inaccurate and affected sites will be marked as non-compliant, making them ineligible for Sessions Score cashback.

What if I close temporarily or my sales volume changes?

The system only tracks orders you have placed, so it adjusts automatically during quieter periods and temporary closures.

How do I know which items are required?

You can view the full list of required items for your brand in the Our Brands section of the Help Centre.

Some items are Tier 2 or Tier 3, which means you can source them from an alternative supplier. Tier 1 items must always be ordered through the Sessions supply chain (Bidfood), and these are the items tracked by the compliance system.

Can I become compliant at any point during the month?

Yes. Order all required items (food and packaging) and your status will update on the dashboard. You should always aim to be compliant for the full month.

If you were non-compliant at any point during the month, you will not be eligible for cashback that month, even if you subsequently become compliant.

How does this affect my Sessions Score and cashback?

The rules are unchanged.

  • If you are compliant for the full month, you are eligible for cashback.

  • If you are non-compliant at any point during the month, you are not eligible for cashback that month.

Your Sessions Score out of 100 (based on ratings and operational metrics) is calculated separately. Compliance is required, however, to convert your Score into cashback. Read more about the Sessions Score.
